# Website privacy notice

Last updated: September 25, 2026.

This notice describes information handled by the Rutledge marketing website and its evaluation tools. Product services and client engagements have their own processing terms. Contact [support@rutledge.ai](mailto:support@rutledge.ai) with questions about this notice or a privacy request.

## Information used during evaluation

We use the professional and firm information you select, your work email and verification records to establish access to the interactive tools. Affiliation may be corroborated through public professional-directory information or a review by our team. An email code proves control of that mailbox; it does not establish a professional license. Unsuccessful email-domain checks record the attempted domain rather than the complete address in the evaluation activity feed.

A showcase access request records your name, work email, claimed firm and website, declared roles, preferred experience, selected interests, optional note and permission for showcase access follow-up. Our team reviews this information before deciding on access. Submission does not verify a mailbox or professional qualification, send an invitation, or subscribe you to a campaign.

If you use the assistant, we process your questions and responses, saved conversations, usage and safety-control information. When a person on our team sets up a platform trial with you, it records the professional areas, team size, your name and work email, and an onboarding reference.

In the showcase, the authenticated case workspace, we also process the facts you enter, their revision history, case conversations, calculation results and generated return pages. Cases belong to the signed-in evaluator. Sharing a firm or selecting another professional experience does not give someone else access to your case.

We record the first and most recent observed view of each showcase experience for evaluation follow-up, distinguishing recommended starts, requested starts and selections in the experience switcher. These records contain the experience and time, not case facts, conversations or documents. Our team sees them separately from interests you declare; viewing an experience does not ask us to contact you or enroll you in a campaign. These observations remain with your sales relationship until explicitly deleted; contact us for a record request.

Technical information such as connection addresses, request details, errors and usage may be processed to operate and protect the site. Our sales workspace records firm and prospect details, reviewed affiliation, invitations, declared interests, follow-up notes, evaluation access and operating costs. Public firm information can help our team identify relevant prospects. Initial emails and evaluation activity can be used to respond to you and arrange a conversation with our team. Assistant activity may identify topics for that follow-up.

## Cookies and remembered verification

The site uses an essential visitor cookie to remember verified access on a device. Its lifetime is up to 400 days and may renew with use. Clearing the cookie or using another browser may require verification again. The application may also use technical cookies for request protection or connection handling.

Unfinished case inputs stay in workspace memory while you switch cases and tools. They are not saved as case records until you perform the relevant save or apply action; leaving or reloading the workspace clears them.

For authorized staff, the current browser tab remembers encrypted list filters and page positions for up to eight hours. These preferences are tied to the staff identity and contain no cached source records or access permissions. The site checks staff access and reloads the list when returning to it.

Browser controls can remove cookies. This can affect interactive access but does not delete saved conversations or other records held by the service.

## Processing and providers

Professional-directory, hosting, security, email and AI services process information needed for the selected function. Verification email processing includes the recipient address and message. Assistant and knowledge-base questions are sent for inference or retrieval. Invitation requests stay in the staff review queue; a trial our team sets up with you is passed to the onboarding service.

Case conversations send the facts needed for the requested work through the platform's sensitive-data inference route. Calculation and rendering use the platform's own calculation tools. Generated return pages do not submit a tax return or transmit it to another professional.

Provider data-handling terms are separate from records kept by the application. See [Security & Control](/trust) and request the processing information relevant to your intended services. Use fictional information in the product-question assistant and initial emails. In the showcase, provide only information you are authorized to share for evaluation; do not include passwords, access secrets or payment-card data.

## Saved conversations and retention

Saved conversations in the marketing site's conversation store are retained indefinitely unless explicitly deleted. You can delete a saved conversation from the assistant. Deleting it from that store does not remove separate inference, security, engagement or onboarding records.

Case facts, revisions, conversations and generated artifacts are also kept indefinitely unless explicitly deleted. Starting another case archives the earlier case. Use the case's deletion control to remove its saved work from this site; interrupted cleanup is retried. Deletion does not recall downloaded copies or remove separate platform inference, security, engagement or cost records. Viewing previously saved results does not consume the paid-service allowance and remains available when that allowance has ended.

Verification codes expire after ten minutes; code and send-limit records are temporary. Invitation links expire after seven days. Counters that limit how often a feature can be used expire with their applicable windows. The evaluation cost ledger and sales relationship history remain recorded across sign-ins and experience changes; deleting a conversation does not reset an allowance. Access blocks may remain until reviewed. Technical, correspondence, engagement and onboarding records are retained for their operational, security, follow-up and applicable preservation purposes.

## Requests and contact

Contact [support@rutledge.ai](mailto:support@rutledge.ai) to request access, correction or deletion of information relating to your evaluation, or to ask us to stop sales follow-up. We may need information to verify the request. Required preservation and security records can limit deletion. Send security concerns to [security@rutledge.ai](mailto:security@rutledge.ai).
